Trade show lead capture: turning stand visitors into pipeline

A practical guide to capturing, qualifying and following up trade show leads - so the contacts you collect on the stand actually turn into meetings and revenue.

The point of exhibiting is not footfall, badges scanned, or games played - it is pipeline. Yet most exhibitors lose the majority of their leads between the show floor and the follow-up. Here is how to capture leads that convert, and what to do with them after the show.

Capture more than a name

A badge scan gives you a contact; it does not tell you whether they are worth pursuing. Build qualifying questions into your capture step - role, buying timeframe, the product they care about - so every lead arrives pre-segmented. An interactive game or product tool is the ideal wrapper: people happily answer a question or two to join a leaderboard or get their results.

Make the exchange feel fair

Opt-in rates soar when the visitor gets something in return - a prize entry, a personalised result, a resource emailed to them. That value exchange also means the contact expects to hear from you, which makes your follow-up welcome rather than cold.

Follow up fast, and personally

Leads decay quickly. Export your data at the end of each day, segment by the qualifying answers you captured, and follow up within 48 hours while the conversation is fresh. Reference what they did on your stand - the game they played, the product they configured - so the message is personal, not a generic blast.
